Workspaces & Teams
A workspace is where your team's meetings live. Meetings recorded in a team workspace can be shared with everyone in it, so your team can find notes, reports, and action items without forwarding links.
How workspaces work
- Everyone has a personal workspace. It's private until you rename it or invite someone, which turns it into a team workspace.
- You can belong to several workspaces and switch between them.
- Your meetings follow your active workspace. The meeting list, search, folders, new recordings, uploads, and prep notes all belong to the workspace you're in.
- Joining is free. Plans are personal: one workspace can include Basic, Premium, and Business members. On a Business team, an admin can give members a Business seat.
- Roles: Owner, Admin, and Member. Owners and admins manage invites, seats, and policies.
Switch workspaces
- Desktop: click your name at the bottom of the sidebar, then the Workspace row, and choose a workspace.
- Web: open your avatar menu, click the Workspace row, and choose a workspace.
- iPhone and Android: Settings → Account → Workspace → Switch workspace.
When you're in a team workspace, its name appears in the mobile app's top bar.
Create a workspace
- During first-run setup: choose Or create your own workspace (desktop and web) or Create your own (mobile), name it, and optionally invite teammates.
- Later (desktop and web): open Settings → Workspace → Members, click the pencil next to Workspace name to rename your personal workspace, and invite people. Your workspace is now shared.
Invite teammates
Owners and admins can invite people from Settings → Workspace → Members on the desktop or web app:
- Invite by email: enter one or more email addresses (separated by commas) and click Invite. On a Business team, an email invite gives the person a Business seat.
- Invite link: click Create invite link, then Copy and share it. Anyone with the link can join your workspace. Click Revoke to turn the link off. Invite links don't use a seat.
On iPhone and Android, owners and admins can tap Share invite link under Settings → Account → Workspace.
Join a workspace
- With an invite link: open the link and click Join workspace. If you're not signed in, sign in first and the invite is waiting for you.
- Paste a link: in the desktop or web app, go to Settings → Workspace and click Join via link.
- Through your company domain: if your workspace admin allows it, Laxis suggests your team's workspace during setup ("Your colleagues are already using Laxis").
If a link doesn't work, you'll see that it's invalid, expired, or revoked — ask your admin for a new one. If you see "You already belong to another team, so this invite cannot be accepted", you're already a member of another team — contact your admin.
Workspace policies
Owners and admins can set policies in Settings → Workspace → Policies:
- Company email domain — your company's email domain (for example company.com). Public email domains like Gmail aren't allowed.
- Discoverable by domain — let colleagues with the same email domain find and join the workspace.
- Share new meetings with workspace by default — new meetings become visible to workspace members automatically. While recording, Laxis shows "This meeting will be shared with [workspace] members".
Click Save policies.
Move a meeting to another workspace
On the desktop app, click ⋯ on a meeting in the list and choose Move to workspace. This option appears when you belong to more than one workspace.
Business seats
On the Business plan, a seat gives a member Business features, such as unlimited transcription.
- See your seats: the Members page shows "X of Y business seats used", and a Seat column shows who has one.
- Give a seat: click Grant seat next to a member.
- Take a seat back: click Revoke seat. The person stays in the workspace but loses Business features.
- Buy more seats: the workspace's billing owner opens Settings → Plan and clicks Update Seats on the Business card. See Team billing and seats.
When all seats are in use, you'll see "All purchased seats are assigned. Buy more seats to grant another."
Folders vs. workspaces
Folders are smaller groups inside a workspace. Use them to share a set of meetings with specific people, such as a client team or a project group. See Folders.
